How we handle website and portal information.
This page explains what WianTribe Inc. may receive through WianTribe’s website and client portal, why we use it and the services involved in running the site.
We try to keep the amount of information involved practical: enough to run the website, understand whether it is working and respond when someone contacts us, without turning a project enquiry into an advertising profile.
The client portal
The portal processes approved account details, requests, messages, uploaded files, invoices, payments and email delivery records to deliver and administer client work. Access is restricted to the assigned client account and authorized WianTribe team members.
Protected request content, files, drafts and payment references are encrypted in transit and at rest. This is not end-to-end encryption: authorized WianTribe systems and team members can access content to provide the service. Account and invoice metadata remains available for administration and bookkeeping.
Unsubmitted client text drafts are encrypted and scoped to their author. They expire 30 days after the last save and can be deleted in the form. Uploads are sent only on submission; files selected in an unsent form stay in the current browser tab. Submitted records and invoices may be retained for the client relationship and necessary business records.
What you choose to send us
When you use the contact form, we receive the information you enter, such as your name, email address, organization and the details you share about a potential project.
Please do not include passwords, payment card details, government identification numbers or other highly sensitive information in a project enquiry.
Analytics and conversion measurement
When analytics is enabled, WianTribe uses Cloudflare Web Analytics to understand aggregate website traffic and real-user performance so we can improve the site without turning project enquiries into advertising profiles.
WianTribe may also record a small set of first-party conversion events, such as opening the Work page, starting a project enquiry, opening a case study, following a case-study link to a live project, or successfully sending the contact form. These events are limited to an event name, the page path and, where relevant, a project slug or destination hostname.
We do not intentionally include names, email addresses, organizations, budgets, contact-form messages, query strings, cookies, persistent user identifiers or browser fingerprints in WianTribe's conversion-event records. The custom conversion tracker also skips collection when Global Privacy Control is enabled or Do Not Track is set to 1.
What we use information for
We use enquiry information to respond to you, understand the work you are asking about, prepare follow-up questions or proposals, protect the contact form from abuse and maintain reasonable business records.
We use limited aggregate and conversion analytics, when enabled, to understand whether the website is useful and which pages or calls to action lead to genuine project interest.
We do not use information submitted through the contact form to make automated decisions about you, and we do not sell contact-form information to advertisers or data brokers.
Companies that help us run the site
WianTribe uses service providers to operate this website. Cloudflare provides website hosting, edge infrastructure, server-side functions and, when configured, Web Analytics and Analytics Engine. Email is delivered through the configured service: SMTP (including Zoho Mail when configured), or Resend when SMTP is not configured. There is no automatic fallback after a potentially accepted SMTP send.
We also use service providers to help protect forms from spam and automated abuse, and to provide optional writing assistance for our team.
Those providers may process information on WianTribe's behalf as necessary to provide their services and are subject to their own contractual, security and privacy obligations.
How long information may be kept
Enquiries and related correspondence may remain in our business email and records for as long as reasonably necessary to respond, manage a potential or existing business relationship, resolve disputes and meet legitimate record-keeping needs.
Infrastructure, analytics and email providers may retain limited technical, aggregate, event or delivery records according to their own service settings and retention practices.
Your choices
You may ask us to correct or delete personal information you previously sent through this website, subject to information we must reasonably retain for legal, security or business-record purposes.
To make a privacy request, use the contact page and clearly identify the request. We may need to verify enough information to ensure we are responding to the right person.
Processing outside your country
The service providers supporting this website may process information in countries other than the country where you live. Privacy protections and lawful-access rules can differ between jurisdictions.
If this policy changes
We may update this policy when the website, its service providers or our information practices change. The date shown on this page identifies the current version.
